Worldwide website privacy notice
Worldwide website privacy notice
Effective date: October 19, 2026.
Vivin Facilitators Ltd., based in Ottawa, Canada, operates vivinsales.com. This notice explains how we handle information from this website’s inquiries, booking choices and website analytics. Visiting this website alone does not give consent to marketing or recording.
1. Scope and contact
This notice covers vivinsales.com. Separate client agreements and recording-consent arrangements govern client delivery and recorded appearances. For privacy questions or requests, email [email protected].
2. Information in your inquiry
The inquiry form asks for your name, work email, phone number and message. Company is optional. Please provide only information needed to discuss your business request, rather than sensitive personal information.
We also record the page, offer and language context, landing and referring pages, selected campaign values such as UTM parameters, and advertising click identifiers where present. We use session storage to remember this source context during your visit. A versioned record captures your consent for us to respond, including the statement and policy version shown and the submission time.
3. Why we use it
We use inquiry information to respond to your request, assess the proposed scope, route the inquiry internally, maintain the conversation and keep a record of what you requested and agreed to. We also use technical context to prevent duplicate submissions and abuse and understand where inquiries originate.
Submitting an inquiry does not subscribe you to a newsletter or marketing SMS. Entering a phone number, booking a call or accepting analytics does not create marketing consent. Any separate marketing choice must be handled separately; this form offers no automatic marketing opt-in.
For abuse prevention, our inquiry service processes the connecting IP address into a hashed rate-limit identifier. This limiter does not store the raw IP address.
4. Storage and service providers
Cloudflare hosts the website and the inquiry service. Accepted inquiries are stored in Cloudflare D1. We use operational email alerts to bring inquiries to the people handling them. Alerts may include your contact details, message and source context. Email providers involved in delivering and receiving those alerts process that information.
Access is limited to the people and service providers needed to operate the website, handle inquiries and meet applicable obligations. Providers may process information outside your country, including Canada or other countries, where different laws can apply. This notice does not promise storage in a particular region.
5. Booking through Cal.com
The embedded Cal.com calendar is loaded only after you choose to load it. You can also follow an external booking link. Cal.com receives the information you enter when booking and handles its service under its own privacy policy. Check its notice before submitting booking details.
Choosing to view a calendar is not a completed booking. A booking does not by itself authorize newsletter subscriptions, marketing texts or a recorded appearance.
When you open a booking link or calendar, we may also pass the source page, landing and referring pages, offer, language, call-to-action and campaign context to Cal.com to connect the booking with your visit. We do not include advertising click identifiers or inquiry form contents in that added attribution context.
6. Website analytics
How Google Analytics starts depends on the pages you are reading. On the pages for the United Kingdom, France and Germany, Google Analytics loads only after you allow it; before that choice, this website does not load the Google Analytics library. On the other pages, Google Analytics loads by default unless you turn it off: the banner offers "OK" and "Turn off analytics", and a stored choice to turn analytics off is honoured on later visits. We use a separate measurement destination for vivinsales.com.
We store your analytics choice in your browser. When analytics runs, Google Analytics may use analytics cookies and process technical connection and device information to provide measurement. You can change your choice at any time with the Analytics preferences link on each page. Turning analytics off also clears this website’s Google Analytics cookies.
Events after you turn analytics off, or after you decline or withdraw permission, are discarded and are not replayed if you later allow analytics. Turning analytics off stops future analytics collection through this website; it does not by itself erase information already sent. Advertising consent stays denied in both cases: analytics never enables advertising cookies, Google signals or ad personalization. Google may process usage data on servers outside Canada.
The website sends limited, predefined page, offer, language and interaction values. It does not send inquiry form content, email addresses, phone numbers or raw URL query strings to Google Analytics. These controls are separate from the information you choose to submit in an inquiry.
Cloudflare Web Analytics (Cloudflare, Inc.) provides aggregate page view and performance measurement for this website. It is separate from the optional analytics above: Cloudflare adds its measurement script to our pages as it delivers them, and the script runs whether or not you allow optional analytics. It sets no cookies and stores nothing in your browser. It reports to Cloudflare the page address and referring page without their query strings, page-load and other performance timings and measurements, and the browser and operating-system type and version. We see only aggregate reports, such as counts by country, device type and browser. Cloudflare states that it discards IP addresses at its nearest data centre and does not track individual visitors across websites. Browser content blockers can stop it; the website’s analytics preferences do not.
7. Retention and security
We retain inquiry and correspondence information only for as long as needed to handle the request, maintain the business relationship, meet applicable obligations and address disputes. We retain consent and preference evidence where needed to honour choices and demonstrate how information was collected.
We do not promise automatic deletion after a fixed number of days in this notice. We use access controls and appropriate safeguards, but no method of transmission or storage can be guaranteed completely secure.
8. Your choices and requests
You may ask us to access or correct your information, withdraw consent where applicable, or delete information we are not required or otherwise entitled to retain. Available rights and any exceptions depend on applicable law and the context of the request.
Email [email protected]. We may need information to verify the request before acting. Withdrawing optional analytics does not stop you from reading the website or contacting us.
9. Changes and other websites
We will update this notice when the website’s relevant practices change and identify the effective date of the updated version. Third-party websites, including booking services, have their own privacy notices.
